Service Window


NOTE: The window is split in two parts.

  • The upper half of this window, which is expandable, is list of items.
  • The bottom half is the data entry-detail display of selected item in the list.



At top of window is the popup menus to select which Status, Facility, and/or Vehicle will display.

Select the Print List button to print List Box.

One or more Service Records may be created for an invoice. A record should be made for each item that is worked on. If a Component is worked on, a Component record should be in the database. That is also true for the Service facility(Vendor).

  • Status: When you first create a service record that you have not yet scheduled mark as “Hold”. Once you have decided to have the work done change the status to “Open”. Open Service records will be included in the Service Order List. When the work has be completed mark as “Closed”. See preferences to modify popup selection.
  • Component: Select the item serviced from the popup menu. (A table of Component names is populated by Component Names from the Component records.)
  • PM Info: Filled in automatically from the related Component record.
  • Problem: Describe the problem. If you need addition space right-click (control-click) field to open larger window.
  • Scheduled/Unscheduled/Emergency Popup: Select as appropriate.
  • Date of problem: Enter the date as appropriate.
  • Odometer: Enter as appropriate.
  • Chassis/Coach/Both button and PM Info: This information is filled in automatically from the related Component record.
  • PM button: Select “Yes” or “NO”. If checked Yes, this record will be used to report PM required.
  • Service By: Select the Vendor from the pop-down menu. (A table of Vendor names is populated by Vendor Names from the Vendor records.)
  • Solution: Describe the work performed. If you need addition space right-click (control-click) the field to open larger window.
  • Date Service Started: Enter as appropriate.
  • Date Completed: Enter as appropriate. If this component is on a scheduled PM this information will be used to determine the next PM due.
  • Odometer at time of service: Enter as appropriate. If this component is on a scheduled PM this information will be used to determine the next PM due.
  • Warranted “YES” or “No”: Check as appropriate.
  • Cost: Enter your cost. (This field is used to determine service cost for vehicle, component, ect)
  • Document Reference Add button: Link to paperwork (invoice, etc.) you have scanned. Double-clicking the link will open the file in the appropriate application.
  • Pictures: You can insert photos by right-clicking and choosing “Insert”. To show the photo in a pop-up window, click the appropriate “Open” button.

If the problem was not solved by this Service, the area at the “Reocurrance Tab” is used to record “Service Reoccurred” information. In this case, you should also create a new record for that service in addition to information on this record.
